Centralized Document & Work Request Management System

The Challenge

Staff across the organization needed a consistent way to request client-related or work-related documents and route action items to a central administrator for handling. Without a centralized system, requests came through scattered, informal channels — making it hard for administrators to track, prioritize, and act on incoming requests in order, and easy for requests to get lost, delayed, or duplicated.

The Solution

I designed and built a centralized SharePoint-based request system that gave all staff across the organization a single, structured way to submit document and work requests, with built-in queuing, approval, and reminder mechanisms to keep the process organized and accountable. The solution centered on four core capabilities:

  • Centralized request submission — a single point of entry for all staff to request client or work-related documents, replacing scattered, informal request channels
  • Queue-based processing — incoming requests were organized into a structured queue, giving the central administrator clear visibility into request order and status; the system processed around 500± staff requests per month at steady state
  • Approval workflow — requests were routed through a formal approval step before documents were released or actions completed, ensuring proper oversight
  • Automated reminders — notified the central administrator of pending, unactioned requests, and kept requesting staff informed of progress and status updates

Technical Implementation

The system was built on SharePoint Designer with InfoPath Forms for request intake, and Nintex Workflows and Nintex Forms to automate the queuing, approval, and reminder processes end-to-end. Microsoft Excel was used to support reporting and tracking of request volumes and turnaround, giving the administrator an additional layer of visibility into workload trends.
