Power Platform automation for governance workflows

Context

A governance framework is only as good as the tooling that enforces it. The one we’d built defined how content should be classified, retained, and archived, but the people doing the work needed somewhere to actually do it, and the policies needed something to run them.

Challenge

Two audiences, with opposite needs. Site owners and business users wanted a request form that took thirty seconds and didn’t require knowing what a retention label was. Governance and compliance teams wanted structured data, approval trails, and reporting they didn’t have to assemble by hand every month.

Approach

Canvas apps serve the business users. They’re deliberately narrow: request a site, request access, flag content for review, with the governance complexity hidden behind the form instead of exposed in it. Model-driven apps serve the governance team, where the underlying data model is the useful thing, and a structured interface works better than a simplified one.

Power Automate sits between the two. Requests route for approval based on classification, provisioning runs against the standards instead of whatever the requester typed, and archiving and retention policies enforce themselves on a schedule. None of that depends on someone remembering the policy exists. It just runs.

Power BI closes the loop with dashboards over the resulting data, so decisions about the estate get made against what’s actually happening in it.

Outcome

Governance and workflow management now run across 50+ business units through these apps and flows. Retention and archiving enforcement became automatic instead of manual, and the compliance team reports from a dashboard instead of a spreadsheet.
