The Challenge
Audit Managers needed a reliable way to book auditor staff onto client engagements while maintaining visibility into how staff hours were being utilized across projects. The existing process was manual and time-consuming, with no system in place to catch scheduling conflicts — meaning the same auditor could be double-booked across two client engagements without anyone noticing until it became a problem. There was also no structured approval step, and no automated way to keep managers informed of pending actions.
The Solution
I designed and built a staff booking form system that allowed Audit Managers to assign auditors directly to client engagements through a structured digital workflow, with built-in safeguards to catch conflicts before they became scheduling issues. The solution centered on five core capabilities:
- Automated booking workflow — reduced staff booking time by 60% by replacing manual coordination with a streamlined, workflow-driven assignment process
- Double-booking conflict detection — automatically identified when an auditor was booked across overlapping client engagements, flagging the conflict to managers and tracking it through to resolution
- Manager approval workflow — required Audit Manager sign-off before a staff booking was confirmed, ensuring oversight and accountability at every assignment
- Automated reminders — notified managers and staff of pending bookings, approvals awaiting action, and unresolved double-booking conflicts, keeping the process moving without manual chasing
- Real-time hour tracking and utilization visibility — staff working hours were captured and updated live, giving managers immediate insight into utilization and supporting auditor staff allocation across multiple client engagements
Technical Implementation
The system was built on SharePoint Designer with InfoPath Forms for structured data capture, and Nintex Workflow and Nintex Forms to automate the booking, approval, conflict-detection, and reminder processes end-to-end. Custom backend logic was developed using TypeScript to support real-time data updates, conflict-checking logic, and utilization calculations that powered the reporting layer.
